Office Manager

Converso provides simultaneous interpretation, multilingual streaming, and accessibility for international events. We're a small team where everyone makes a difference, we work with dozens of freelance collaborators every year, and our clients are companies and institutions across Europe. We're looking for an Office Manager: the person who holds together administration, commercial back-office, and operational coordination. This isn't a "do one thing" role — it's the role for someone who, in a small company, keeps everything running, from withholding payments to client quotes, from commercial follow-ups to post-event invoicing. We don't expect you to know everything on day one. We expect you to learn fast, be precise when it matters, and be comfortable speaking with clients in English. One thing must be clear: administration and money are NOT a joke. Here you'll learn tax filings, self-invoicing, reverse charge, debt recovery, international client management. You'll touch everything, see everything, and understand how a company works from the inside.

What you will do

  • Manage operational administration: supplier payments and monthly F24 filings via online banking, withholding management for freelance collaborators
  • Issue client invoices and manage the receivables schedule on Fatture in Cloud
  • Handle self-invoicing for foreign purchases — reverse charge, SDI submission
  • Coordinate workflows with the labor consultant (attendance, leave, sick days) and the accountant (monthly documents, tax certificates, closings)
  • Manage bureaucratic documentation: DURC, DUVRI, chamber of commerce certificates, digital signatures, public administration relations, supplier registry enrollments
  • Handle incoming requests (email, website, phone) — act as first filter and route to the right colleague
  • Follow up on commercial activities and track the client pipeline
  • When the client confirms: formalize the order confirmation and hand off to the operations team
  • Post-event: issue the invoice, verify everything checks out, archive
  • Chase clients who don't pay — and when needed, work with lawyers on debt recovery
  • Manage certified email (PEC), document archiving, corporate cards, meal vouchers, expense reports
  • Keep lists updated: employees, collaborators, document deadlines, NDAs, safety certificates — you're the one keeping control

Requirements

  • Fluent English — written and spoken, professional level. You'll speak with international clients, reading emails isn't enough
  • Hands-on experience with e-invoicing (Fatture in Cloud or similar) and active/passive invoice cycles
  • Know how to fill in F24 tax forms via online banking and manage freelancer withholdings
  • Precision on deadlines — the 16th of the month is the 16th of the month
  • Ability to write professional emails to corporate clients without someone proofreading them
  • Autonomy: you learn fast, look for answers before asking, then ask when you can't figure it out
  • Experience in small companies or environments where you do "a bit of everything" — we're not looking for someone who can only do one thing
  • Comfortable with digital tools: Google Workspace, PEC, online banking, expense management apps

Nice to have

  • Experience in the events sector, interpretation agencies, or AV/tech service companies
  • Basic knowledge of the Italian CCNL Commercio collective agreement: leave, sick days, severance
  • Having managed withholding taxes and F24 filings for companies with many freelance collaborators
  • Experience in commercial follow-up and client pipeline management
  • French or other languages — we work with clients across Europe
  • Familiarity with Revolut Business or corporate card and expense management systems

  • Starting salary €24,000–28,000 based on experience, level V–III CCNL Commercio — with fast review based on results, not seniority

The first months

  • Months 1–2: focus on admin and finance — learn Fatture in Cloud, online banking, F24, withholdings, workflow with labor consultant and accountant. Goal: manage the admin cycle independently
  • Months 3–4: add commercial back-office — the team teaches you the client flow, you start doing follow-ups and managing requests. Goal: manage the pipeline from incoming request to follow-up
  • Months 5–6: add operational coordination — order confirmations, handoff to the operations team, post-event invoicing. Goal: keep the thread from incoming request to final invoice
